Policy Management
Travel policies define the rules and limits for corporate travel bookings. Policies control what employees can book, how much they can spend, and what happens when bookings fall outside policy limits.
Key Concepts at a Glance
Policy Hierarchy
Policies are assigned at multiple levels with the following priority:
- User-Specific - Policies assigned directly to a user (highest priority)
- Role-Based - Policies assigned to user roles (Member, Manager, Admin)
- Company Default - The fallback policy for all users
Policy Actions
When a booking violates policy rules, one of four actions applies:
| Action | Behavior |
|---|---|
| Allow | Booking proceeds normally |
| Warn and Allow | Warning shown, user acknowledges and proceeds |
| Require Approval | Booking becomes a request requiring manager approval |
| Block | Booking is not permitted |
Booking Modes
Policies can operate in three modes:
| Mode | Description |
|---|---|
| Direct Booking | Users can book directly (within policy limits) |
| Request Only | All bookings require approval |
| Hybrid | Direct booking if in-policy, approval required if out-of-policy |
