Understanding policy status during booking

Policy Management User Guide

This guide explains how travel policies affect your booking experience and what to do when you're out of policy.

Policy Visibility Throughout Your Journey

You'll see policy status at every step of your booking:

  1. Search Results - Each flight/hotel card shows a policy badge if it's out of policy
  2. Booking Review - Full policy status card with violations and matched rules
  3. Confirmation - Final policy check before completing the booking

How Policies Affect You

Your company has set up travel policies that:

  • Define budget limits for flights and hotels
  • Specify allowed cabin classes and hotel ratings
  • Determine what happens when you book outside these limits

When you search and book travel, the system automatically checks your selections against your policy.

Policy Status in Search Results

When browsing flight or hotel search results:

  • No badge - The option is within your policy, you can book directly
  • Amber badge - The option is out of policy and may require approval
  • Red badge - The option is blocked by your policy

Click any badge to see the specific violations and the matched policy rule.
