Best Practices
User Onboarding
| Approach | Best For | Notes |
|---|---|---|
| Self-registration + auto-signup | Most companies | Least friction |
| Self-registration + manual approval | High security | More admin work |
| Admin-created only | Small teams | Full control |
| Mixed | Varied needs | Some self-register, some created |
Role Assignment
- Start with Member — Default role for most users
- Upgrade as needed — Promote to Manager or Admin based on responsibilities
- Use custom roles — For specific needs beyond predefined roles
- Review regularly — Ensure roles match current responsibilities
Status Management
| Scenario | Recommended Action |
|---|---|
| Employee leaves company | Deactivate immediately, delete later |
| Temporary leave | Deactivate, reactivate on return |
| Security concern | Deactivate immediately |
| Wrong email used | Delete, create with correct email |
| Testing complete | Delete test users |
Offboarding Process
Immediate Deactivation
Deactivate the user immediately when notified of departure. This blocks access without losing data.
Review Pending Work
Check for pending booking requests and reassign if needed.
Transfer Travelers
If appropriate, reassign traveler profiles to another user.
Delete After Grace Period
After 30-90 days (per your policy), delete the user account.
Checklist: User Audit
Perform monthly or quarterly:
| Check | Purpose |
|---|---|
| Review inactive users | Remove or reactivate as needed |
| Verify role assignments | Ensure roles match responsibilities |
| Check for orphaned travelers | Travelers without owners |
| Audit admin users | Verify admin access is appropriate |
| Review pending users | Approve or reject waiting signups |
