How travel policies affect your hotel booking experience
Policy Integration
Travel policies determine what hotels you can book and what happens when a booking doesn't comply with company rules.
Policy Evaluation
When you reach the Review step of booking, the system evaluates your selected hotel against your company's policy rules. The evaluation considers:
| Factor | What's Checked |
|---|---|
| Price per Night | Is the nightly rate within the allowed limit? |
| Star Rating | Is the hotel's star rating in the permitted list? |
| Advance Booking | Was the booking made far enough in advance? |
Evaluation Flow
Policy Status
After evaluation, you'll see one of these policy statuses:
Within Policy
The hotel meets all policy requirements. You can proceed directly to confirm the booking.
Out of Policy (Warning)
The hotel violates one or more policy rules, but the policy action is set to warn rather than block. You'll see:
- A list of violations (e.g., "Price per night exceeds limit by 50,000 IQD")
- The option to continue with the booking
Requires Approval
The hotel violates policy rules that require manager approval. When you submit:
- A booking request is created instead of an immediate booking
- Your manager receives a notification to review
- You can track the request status in My Bookings
Blocked
The hotel violates policy rules with a blocking action. You cannot complete this booking and must choose a different hotel.
Violation Types
When a policy is violated, the system shows specific messages:
| Violation | Example Message |
|---|---|
| Price per Night | "Price per night exceeds limit by 75,000 IQD" |
| Star Rating | "4-star hotels not allowed; permitted ratings: 3, 5" |
| Advance Booking | "Booking made 2 days in advance; minimum required is 5 days" |
Booking Mode Impact
Your company's booking mode also affects what happens:
| Mode | Behavior |
|---|---|
| Direct Booking | Policy-compliant hotels book immediately |
| Request Only | All hotels create booking requests for review |
| Hybrid | Compliant hotels book directly; violations create requests |
